Email Practices

What email we send
NexEmerge AI sends transactional and conversational email only: replies to messages you send us, notifications about your account or your calls, appointment and scheduling confirmations, summaries and follow-ups related to business you have with us, and operational or security notices. We do not send marketing campaigns, newsletters, or bulk promotional email, and we do not send email on behalf of third parties.
How recipients get on our list
There is no list in the marketing sense. We email an address only when one of the following is true: you emailed us first; you gave the address to one of our assistants during a call or conversation; you entered it when signing up for the service; or you are an account holder receiving notices about your own account. We do not purchase, rent, harvest, or scrape email addresses, and we do not import third-party lists.
How to stop receiving email
Every non-essential message carries an unsubscribe link, and replying with STOP or UNSUBSCRIBE to any message from us has the same effect. Requests are honored promptly and permanently; you may also email operator@nexemerge.ai and we will suppress the address. Account-security and legally required notices are the only mail we will still send to an active account after an unsubscribe.
Bounces
We monitor delivery results for every message we send. A hard bounce (invalid or non-existent address) suppresses that address immediately and permanently; we do not retry it. Soft bounces (mailbox full, temporary failure) are retried a limited number of times and then suppressed. Suppressed addresses are held on a do-not-send list so a later action cannot accidentally re-enable them.
Complaints
We treat a spam complaint as a withdrawal of consent. Any address that generates a complaint through a feedback loop, or that tells us directly it does not want our mail, is suppressed immediately and is not contacted again. Complaints are reviewed by a human, not only by automation, because the cause matters more than the count. Report a problem to operator@nexemerge.ai and a person will read it.
Authentication and identification
Our sending domains are configured with SPF, DKIM, and DMARC. Every message identifies NexEmerge AI as the sender, uses a subject line that accurately describes the contents, and includes a working reply path monitored by a person. When a message was composed by one of our AI assistants, it says so.
Volume
Sending volume follows your activity — these are replies and notifications, not campaigns. We are a small operation and we do not run send bursts.
